1. Purpose and Company Structure

These Policies & Procedures establish operating standards for Courageous Warrior LLC. They are intended to protect clients, participants, visitors, and the company by clearly defining scope, privacy expectations, communication practices, conduct, scheduling, payment, safety, and use of materials.

Courageous Warrior LLC is the operating company. Courageous Warrior LLC may offer services, programs, methods, educational resources, initiatives, events, and other offerings under various public-facing names, trademarks, program titles, and brands. Unless expressly stated otherwise in writing, those names are offerings or brands operated by Courageous Warrior LLC and are not separate legal entities.

These policies apply across all Courageous Warrior LLC websites, services, programs, methods, resources, brands, initiatives, events, and communications unless a more specific written agreement or policy applies.

2. Scope of Services

Courageous Warrior LLC may provide coaching, relationship education, resilience and personal-development education, speaking, workshops, courses, groups, digital resources, awareness initiatives, and related services.

Coaching and educational services are not therapy, psychotherapy, counseling, couples counseling, medical care, legal advice, financial advice, crisis intervention, or emergency services. Courageous Warrior LLC does not diagnose mental-health or medical conditions or determine legal responsibility for abuse or other conduct.

Coaching may focus on awareness, goals, communication, boundaries, confidence, resilience, self-leadership, habits, choices, relationships, and forward action. Clients remain responsible for their own decisions and actions.

3. Privacy, Security and Sensitive Information

Courageous Warrior LLC uses privacy-conscious systems and reasonable safeguards appropriate to the type of information being handled. Certain vendors or services may support HIPAA-regulated workflows or operate under a Business Associate Agreement when applicable. This does not mean that every website, form, email account, text message, social-media platform, or technology used by Courageous Warrior LLC is HIPAA compliant.

Public websites, ordinary website forms, standard email, social media, and ordinary SMS/text messaging are not intended for the transmission of protected health information or detailed sensitive personal information. Sensitive information should be submitted only through a designated secure system or another approved secure method when instructed.

Courageous Warrior LLC collects only information reasonably necessary for the applicable business, service, communication, or legal purpose and handles that information according to its Privacy Policy and applicable agreements.

4. Communications: Secure and Non-Secure

Secure communications

Sensitive coaching information, intake information, confidential forms, and information requiring additional privacy protection should be handled through a designated secure client system or another approved secure channel when one is provided.

Non-secure communications

Standard email, website forms, social-media messages, and SMS/text messaging may be used for general information, scheduling, reminders, requested resources, marketing or educational communications when permitted, and routine administrative communication. These channels should not be used to send protected health information or detailed sensitive personal information.

By choosing a non-secure communication method, you acknowledge that ordinary internet and telecommunications services may carry privacy and security risks outside the control of Courageous Warrior LLC.

5. Confidentiality

Courageous Warrior LLC treats private client and participant information with care. Information may be disclosed when authorized by the individual, as reasonably necessary to provide a requested service, to service providers supporting business operations, as required by law, or when disclosure is reasonably necessary to address an immediate safety concern within applicable law and professional scope.

Coaching confidentiality is not the same as psychotherapist-patient privilege or attorney-client privilege. Clients should not assume that coaching communications receive the same legal protections that may apply to licensed clinical treatment or legal representation.

6. Safety, Crisis and Referral

Courageous Warrior LLC is not an emergency or crisis service. If an immediate safety concern, suicidal or homicidal crisis, medical emergency, active danger, or other need outside coaching scope becomes apparent, Courageous Warrior LLC may pause or decline coaching and recommend appropriate emergency, clinical, medical, legal, domestic-violence, veteran, or other referral resources.

If you are in immediate danger or experiencing an emergency, call 911 or the appropriate local emergency service. In the United States, people experiencing a suicide or mental-health crisis may call or text 988. These resources are independent of Courageous Warrior LLC.

7. Scheduling and Cancellation

Scheduling, cancellation, rescheduling, no-show, and late-arrival requirements may vary by service, program, event, or offering. The applicable booking page, service agreement, invoice, checkout terms, or written confirmation controls when it contains more specific requirements.

Clients and participants are responsible for attending scheduled services on time and for providing reasonable notice when a change is needed. Courageous Warrior LLC may reschedule a session or event when illness, emergency, technology failure, weather, travel disruption, or another circumstance makes the original time impractical or unsafe.

8. Fees and Payment

Prices vary by service, program, package, event, course, resource, or other offering and may change before purchase or enrollment.

Payment schedules, deposits, refunds, cancellations, payment plans, and other financial terms may be governed by a separate service agreement, invoice, checkout page, booking page, or written offer. When more specific written payment terms apply, those terms control.

9. Client and Participant Conduct

Clients, participants, and website users are expected to communicate respectfully and to avoid harassment, threats, unlawful discrimination, intimidation, abusive behavior, fraud, misuse of services, or interference with business systems.

Courageous Warrior LLC may decline, pause, limit, or end a service relationship when conduct creates a safety concern, repeatedly disrupts services, violates an agreement, falls outside the intended scope, or makes continued service professionally inappropriate.

Clients remain responsible for their own decisions, actions, relationships, finances, medical care, legal matters, and safety choices.

10. Faith-Friendly and Client-Directed Services

Courageous Warrior LLC may incorporate faith, spiritual values, or religious beliefs when a client requests that perspective. Participation does not require a particular faith, denomination, or religious belief unless a specific optional offering is clearly described otherwise.

The client directs whether and how faith is incorporated into coaching or educational services.

11. Equal Access and Appropriate Fit

Courageous Warrior LLC is committed to treating people with dignity and respect and does not unlawfully discriminate on the basis of a legally protected characteristic.

Courageous Warrior LLC may decline, pause, refer, or end services when the requested need is outside professional scope, when licensed clinical, medical, legal, crisis, or other specialized assistance is more appropriate, when there is an unresolved safety concern, when required terms are not followed, or when the professional relationship is not a suitable fit.

12. Intellectual Property

Unless otherwise stated in writing, Courageous Warrior LLC owns or licenses the original materials it provides, including coaching materials, methods, worksheets, course content, presentations, handouts, videos, written content, designs, program names, trademarks, digital resources, and other business materials.

Materials are for the recipient's personal use unless written permission is granted for copying, resale, public distribution, publication, training, commercial use, or creation of derivative works.

13. Policy Updates

Courageous Warrior LLC may update these Policies & Procedures as services, platforms, laws, technology, vendors, or business practices change. The version posted by Courageous Warrior LLC with the most recent effective date controls unless a signed written agreement states otherwise.
